When it comes to running a meeting, some people are just more put together than others. Many are natural-born public speakers, who know how to tell just the right amount of jokes, and others still get panic attacks before speaking in front of a group. But, no matter your comfort level when it comes to running a presentation, there are tools and tips that can help any meeting run smoothly.
1. Have the Right Tools
No matter if you're a geek of all trades or technologically impaired, the right AV equipment can help produce a meeting. Notes can be projected, lights can be dimmed, music can be added, etc. Besides, implementing electronics may just be the entertainment that keeps your crowd awake.
2. Plan Ahead
No one wants to sit through a meeting longer than they have to due to a lack of planning. Make sure everything is in working order before you step up front. Did you bring the correct documents? Are they in the right file form? Otherwise you might end up presenting your meeting notes in binary.
3. Engage your Audience
If only work meetings were like elementary school – no cell phones would be allowed, and any mean comments would be punished by a stint in the corner. Unfortunately though, coworkers can't be put in time out. To help avoid any ill-behaved listeners, keep the crowd involved. Ask for opinions, questions, or just encourage feedback. And, if a co-worker continues to check their phone through the meeting, ask them to help hold your charts.
4. Pre-Meeting Notes
Finally, one of the best ways to ensure a meeting's success is to schedule. Schedule your what you're going to cover, how long you should spend on each subject, and, perhaps even provide a copy for your audience. Writing these events down will help keep you accountable while still being able to cover each and every topic.
